Terms and Conditions

1. Introduction

These Terms and Conditions govern the booking and participation in all tours and treks offered by Igloo Himalaya Treks Pvt. Ltd. (“Igloo Himalaya”). By making a booking with Igloo Himalaya, you (“Client”) agree to be bound by these Terms and Conditions.

2. Booking and Payment

• Booking: Bookings can be made online, by phone, or in person. A deposit of 20% of the total tour cost is required to secure the booking.
• Payment: Full payment is due 15 days prior to the tour departure date. Payment can be made by cash, bank transfer, or credit card.
• Currency: All prices are quoted in USD.

3. Cancellation Policy

• 3 Months or more before departure: 70% refund.
• 45 days before departure: 50% refund.
• 15 days or less before departure: No refund.
• No-show: No refund.
• Force Majeure: In case of unforeseen circumstances beyond Igloo Himalaya’s control (e.g., natural disasters, political instability, pandemics), Igloo Himalaya will make reasonable efforts to offer alternative arrangements. However, no refunds will be given for cancellations due to Force Majeure events.

4. Tour Inclusions and Exclusions

• Inclusions:
  • Accommodation (as specified in the itinerary)
  • Meals (as specified in the itinerary)
  • Transportation (as specified in the itinerary)
  • Entrance fees to national parks and monuments
  • English-speaking guide
  • Porter services (if applicable)
  • First Aid kit
• Exclusions:
  • International flights and airport taxes
  • Travel insurance
  • Visa fees
  • Personal expenses (souvenirs, drinks, laundry, phone calls)
  • Tips for guides and porters
  • Alcoholic beverages
  • Optional activities not included in the itinerary

5. Accommodation

• Standard: Accommodation will be as specified in the itinerary (e.g., tea houses, guesthouses, hotels).
• Single Supplements: A single supplement will apply for clients traveling alone.
• Rooming Arrangements: Rooming arrangements will be based on availability and may be subject to change.

6. Guide Services

• Qualifications: Igloo Himalaya employs experienced and licensed guides.
• Responsibilities: The guide will be responsible for:
  • Leading the trek/tour according to the itinerary.
  • Providing information about the local culture, history, and environment.
  • Assisting with bookings and arrangements.
  • Ensuring the safety and well-being of the group.

7. Itinerary Changes

• Flexibility: Igloo Himalaya reserves the right to make changes to the itinerary due to unforeseen circumstances (e.g., weather conditions, road closures, political instability).
• Alternative Arrangements: Igloo Himalaya will make reasonable efforts to find suitable alternative arrangements in case of itinerary changes.

8. Liability

• Disclaimer: Igloo Himalaya is not liable for any injury, loss, or damage caused by unforeseen circumstances, acts of God, or the negligence of third parties.
• Travel Insurance: Clients are strongly encouraged to purchase comprehensive travel insurance to cover medical expenses, trip cancellation, and other unforeseen events.

9. Client Responsibilities

• Health and Fitness: Clients are responsible for assessing their own health and fitness levels and ensuring they are physically and mentally prepared for the trek/tour.
• Respect for Local Culture: Clients are expected to respect local customs, traditions, and the environment.
• Compliance with Instructions: Clients are expected to follow the instructions of their guide and adhere to safety guidelines.

10. Complaints

• Procedure: Any complaints should be brought to the attention of the guide or Igloo Himalaya representative immediately.
• Resolution: Igloo Himalaya will make every effort to resolve any complaints promptly and fairly.

11. Data Protection

• Privacy Policy: Igloo Himalaya respects the privacy of its clients. Please refer to our separate Privacy Policy for details on how we collect, use, and protect client data.

12. Governing Law

• Jurisdiction: These Terms and Conditions shall be governed by and construed in accordance with the laws of Nepal.
